For thousands of Kenyan businesses — salons, clinics, restaurants, shops — the M-Pesa till is the accounting system. Every sale lands there, every supplier is paid from there and the month's story is written in one statement. That makes it powerful evidence — for you if it is clean, and against you if it is not.
Why this matters more every year
KRA's enforcement model has shifted from asking businesses what they earned to comparing what they declared against data it can obtain — eTIMS invoices, bank records and, where investigations require it, mobile money records. A till that received KES 8 million in a year sits badly beside a return declaring KES 3 million. You do not have to be dishonest to fail that comparison; you just have to be disorganised.
The four rules of a clean till
- One channel for business money. Sales go through the till or paybill, full stop. The moment customers "just send it to my number", your business income is scattered across a personal line and neither you nor anyone else can reconstruct it cleanly.
- Personal money stays out. School fees, family support and personal shopping paid from the till turn your business statement into a puzzle. Pay yourself a transfer to your personal line, then spend from there — one line in the statement instead of forty.
- Download the statement monthly. Safaricom provides till and paybill statements; a business that saves them every month has a complete, independent, time stamped sales record. A business that requests three years of statements during an audit is negotiating from weakness.
- Reconcile monthly: till statement to eTIMS sales to bank deposits. The three should tell one story. Every gap has an innocent explanation today that will be impossible to remember in two years.
Cash sales that never enter the till, or till money withdrawn as cash and spent unrecorded, are invisible income and invisible expenses. The expense side hurts you twice — money genuinely spent on the business but with no record and no eTIMS invoice is not deductible, so you pay tax as if it were profit.
What clean records unlock
This is not only about defence. A reconciled till statement is what turns a small business into a bankable one: it supports loan applications, feeds accurate turnover tax filings, proves turnover when a tender asks for it and gives you real margins instead of guesses. It also makes eTIMS compliance almost automatic, because your invoicing and your money now match — see our eTIMS guide for that side of the picture.
A thirty minute monthly routine
- Download the till or paybill statement on the 1st.
- Tick it against eTIMS invoices and banking — investigate anything unmatched while it is fresh.
- File the statement in a folder that leaves your phone (email, drive or your accountant).
- Move personal spending to your personal line the moment you catch it.
Thirty minutes a month is what audit ready looks like for a till based business. It is also, not coincidentally, the raw material your accountant needs to do everything else in this library.
